Special Events Prep and Post Crew Volunteer (shift based)

Description

Purpose of Position: Love the buzz of a great event but prefer the calm, creative work that happens before and after the spotlight? As a Special Events Prep/Post Crew Volunteer, you’ll help bring Hilltop events to life by organizing materials, preparing décor, assembling packets, and making sure every detail is ready for a smooth event day. From creating place cards and sorting supplies to inventorying auction items and helping wrap things up afterward, your behind-the-scenes support is essential to a polished, welcoming experience for guests. This hands-on, flexible role is perfect for someone who enjoys organization, light creativity, teamwork, and knowing their efforts to make the event feel seamless and special.

Hilltop Desert Bloom Bash - August 29, 2026 
The Hilltop Desert Bloom Bash is an annual fundraising event that brings together community members, partners, and supporters. Guests enjoy an evening of connection through food, live music, and stories of Hilltop's impact. Attendees have the opportunity to support Hilltop's mission and strengthen our community through donations and investments.  

Current Available Shifts

08/19/2026 - Anytime between 8:00am-3:00pm - Prepare decorations - Assemble small vases with pampas grass, fold and ring napkins

08/21/2026 - 1:00pm-2:00om - Pick Up Honey Guest Gifts at Cowboy & Rose 104 Orchard Ave, Suite A2, Grand Junction, CO 81501 and deliver to Hilltop on Main, 359 Main St, Grand Junction, CO 81501. Mileage will be reimbursed.  

08/24/2026 - Anytime between 8:00am-3:00pm - Prepare guest gifts - Bag honey and stir sticks, tie on thank you notes.  

Basic Requirements

• Completion of volunteer application and interview.

• Successful completion of appropriate screenings Hilltop Non-Residential criminal background check without CAPS or MVR, Trails Child Abuse Registry Screening, and Fingerprinting through Colorado Fingerprinting

• Completes program orientation and position specific training. (Approximately 2 hours)

• Must wear name badge

• Dependable and responsible.

• Maintain participant and donor confidentiality

• Must be at least 18 years old

• Good listening and communication skills.

• Completes and submits volunteer hours monthly.

• Abide by all Hilltop policies/procedures and Code of Conduct.

Performance Responsibility:

•Assemble event packets, signage, auction sheets, and table materials

• Create and prepare place cards and name tags

• Organize, label, and inventory donated/auction items

• Sort event supplies into bins by station (check-in, décor, raffle, programs, etc.)

• Assist with event prep checklists and supply tracking

• Prepare centerpieces and simple décor items

• Run event-related errands (pickups, deliveries, last-minute needs)

• Prepare event deliverables (guest gifts, décor, signage, materials)

• Support preparations for event setup and final details (layouts for placing tables/chairs, decorating, signage placement, organizing materials, and helping with the “everything in between” to make the event ready to go)

• Organize event materials post event
