Special Events Crew Event Day Support Volunteer (shift based)

Description

Purpose of Position: Love the buzz of a great event but prefer the calm, creative work that happens before and after the spotlight? As a Special Events Prep/Post Crew Volunteer, you’ll help bring Hilltop events to life by organizing materials, preparing décor, assembling packets, and making sure every detail is ready for a smooth event day. From creating place cards and sorting supplies to inventorying auction items and helping wrap things up afterward, your behind-the-scenes support is essential to a polished, welcoming experience for guests. This hands-on, flexible role is perfect for someone who enjoys organization, light creativity, teamwork, and knowing their efforts to make the event feel seamless and special.

August 28, 2026 - 7:30am - 9:00am - Pick up Volunteer/Staff Food - Must be willing to drive

August 28, 2026 - 9:00am - 1:00 pm - Decorate Barn Area - Set tablecloths, napkins/rings, chargers, table decor, wooden chairs, place guest gifts

August 28, 2026 - 1:00pm - 5:00pm - Decorate Barn Area - Finish table decorations, set up stage decor, sponsor boards, live auction, edu boards

August 29, 2026 - 7:30-9:00am - Pick up Volunteer/Staff Food - Must be willing to drive

August 29, 2026  - 9:00am-2:00pm - Lawn Prep Support -  Possible Tasks: Decorate cocktail tent, Decorate registration tent, Decorate dessert tent/after party area

August 29, 2026 - 12pm - 2pm - Signage Placement - Parking Area, 3 piece sponsor board in the barn, bathrooms, top sponsors wooden hanging, registration

August 29, 2026 - 12pm - 2pm - Pick up Pie Shots and Deliver - Must be willing to drive

August 29, 2026 - 3:30pm-8:30pm 

  • Parking (4 volunteers) - Parking, Dinner, Move Conversation Pits from cocktail area to after-party
  • Cocktail Area (3 volunteers) - Help Caterer, Dinner, Begin tearing down cocktail area

August 29, 2026 - 5:00pm - 11:00pm

  • Outside and Restroom Tidying - 1 volunteer - (5pm-10pm) 
  • Barn Support - 11 volunteers - 5:30pm - 11pm
  • Dinner Support - 2 volunteers - 5:30pm-7:00pm
  • Concierge - 2 volunteers - 5:30-7:00pm
  • Auction Prep Support - 1 volunteer - 5:30-7:00
  • Auctioneer Support - 5 volunteers - 7:00-8:30pm
  • Live Auction Support - 2 volunteers - 7:30-8:00
  • Dessert Tent - 2 volunteers - 8:00pm - 10:30pm

Clean up

  • Clean up Barn Area - 20 volunteers - 8:30-11:00pm
  • Clean up Lawn Area - 20 volunteers - 10:15-12am

Basic Requirements

• Completion of volunteer application and interview.

• Successful completion of appropriate screenings Hilltop Non-Residential criminal background check without CAPS or MVR, Trails Child Abuse Registry Screening, and Fingerprinting through Colorado Fingerprinting

• Completes program orientation and position specific training. (Approximately 2 hours)

• Must wear name badge

• Dependable and responsible.

• Maintain participant and donor confidentiality

• Must be at least 18 years old or 14 with parent supervision

• Good listening and communication skills.

• Completes and submits volunteer hours monthly.

• Abide by all Hilltop policies/procedures and Code of Conduct.

Performance Responsibility:

Volunteers may be assigned to one or more of the following support teams based on availability, comfort level, and event needs:

• Event Set-up (20+): Assist with setting up for the event. (Possible tasks include setting up chairs and tables, decorating, placing signage, etc.)

• Check-In & Check-Out Crew (5): Guest list support, name tags, directions, distributing programs and bidder numbers, collecting attendee information

• Guest Greeters/Dictional Coordinators (5): Welcome guests and guide them to seats, tables, and event areas

• Vendor Liaison Team Support vendor coordination, communication, and basic needs throughout the event

  • Auction Support Team (10) (Live Auction + Paddle Raiser) Assist with live auction flow, paddle raise support, and runner help as needed
  • AV Support Team (1) Assist with basic audiovisual support and troubleshooting as directed
  • Catering Support Team (?) Support guest flow, refills, and upkeep of food service stations as needed
  • Entertainment Support Team (1) Assist with timing, guest flow, and performer needs as directed

• Program Support Team (2) Help support program flow and timing, speaker coordination, and behind-the-scenes assistance

• Dessert Crew (2) Set up, serve, restock, and clean up dessert station

• Event Parking Crew (3) Help direct guest parking and support smooth arrivals and departures

• Event Breakdown & Clean-Up Crew (20+) Assist with event breakdown, clean-up, packing supplies, and resetting the space at the end
